CERTNET - DIAMOND DATABASE TUTORIAL
Click on
CertNet in the red Navigation Bar. Then click:
My Inventory tab. Find the heading
Add
Diamond and then click on
From A File. This takes you to the CertNet File Upload Page, which
outlines the steps to uploading your inventory.
This section is where you
Add Diamonds to CertNet
From a File, A Single Diamond(s) via
Online Form, Matched Pair or via
Certificate ID. This is also where you
Manage Diamonds in
CertNet. NOTE:
The system process uploads every two hours. You will not be able to see your newly
updated inventory until then.
To upload
From a File follow three steps.
In order to successfully upload inventory, you must first create a text file in either
Diamond Format.
Note: Other formats may be available from time to time. Please email
technical support for details.
Step 1, click the browse button to open a window that lets you browse the file system of your
computer. Find the file to upload that contains your inventory and double
click it. When you do this
you will notice the
File To Upload field is now filled in with the path to your file (this may look similar
to
c:\windows\desktop\...). If this is the not the case repeat
Step 1 until the
File To Upload field
is filled in correctly.
Step 2, choose whether you would like to:
Delete all your Diamonds and only
Add the ones from the selected file
Or
Update and
Add the Diamonds from the selected file.
The default is set to the first choice,
Delete All Diamonds and Only Add the Ones from the
Selected File.
Step 3, if applicable, find the image file that you created, click it, and press the
Open button Follow the instructions in
Step 1 attaching the file.
NOTE: To upload your file of images, you must place all of your images in a
ZIP file with no directory structure. The size of your image ZIP file cannot
be more
than 1 MB (1024 kb).
Lastly, click the
Add Diamonds from File button.
There are two different file formats you can use to upload your diamonds in bulk,
PolyPlus Format
and
Polygon Format.
When uploading stones to CertNet you may provide information in the
proper PolyPlus Format. PolyPlus Format is comma-delimited. In other words,
the data fields are separated by commas.
To use the PolyPlus format, you can type your information into a plain
text file (using Notepad, WordPad, a Word document saved as a text file,
etc) using commas to separate each field. You can also use Excel to create
your file, using column A as
Shape, column B as
Carat Weight, column C as
Color, and so forth as outlined in the table below.
NOTE: If you choose to use Excel to create your file you must save the
file as a CSV (comma separated values) file.
When using PolyPlus Format, all fields must be included in the order shown
for our system to recognize the information correctly. For example, field
1 is
Shape, field 2 is
Carat Weight, field 24 is
Polish, field 25 is
Symmetry, etc (please see column numbers following).
If you do not wish to include a field, please specify the following: 1)
if using Excel, leave the column empty 2) if using Notepad, WordPad, etc,
type two commas right next to each other (,,). In addition, the first line
of your file must contain all 37 fields. Adding a line to the first row
of your file naming each field and separating each name with a comma will
ensure that all 37 fields are present in the first line.
All characters are case sensitive, except for the remarks field. For numbers,
be sure to use the number zero, not the text letter "O." Do not
enter any symbols such as percent signs (%) or dollar signs ($).
To accommodate the information provided by diamond grading laboratories,
you have the ability to enter weight with up to four (4) decimal places,
depth with up to four (4) decimal places, and table with up to one (1)
decimal place. Please note that CertNet results will show weight
with two (2) decimal places, depth with one (1) decimal place, and table
as a whole number. However, by viewing the stone's details, you will be
able to view the weight with four (4) decimal places.
Again, fields are recognized by the order in which they are provided. The 13th field is always
Depth Percent and the 14th field is always
Table Percent. For example, if you place your
Table Percent in field 13 instead of field 14, the system will assume that this is the
Depth Percent.
Required fields:
Shape,
Weight,
Color (or
Fancy Color),
Clarity, and
Price per Carat. Either the value or shortcut code - as illustrated in the table below
- can be used successfully.
Here is how the data might look for one stone:

When listing stones as
Matched Pairs, you must choose the Pavilion for the stones to be shown in. Currently
any Polygon member can upload to the Polygon database (CertNet),
however you must belong to the Association before uploading into their
specific pavilion. Current pavilions are: Polygon CertNet, Polygon
JewelryNet, IJO, RJO, and AGS.
Then specify if the stones are
Separable or not. The default is
Not Separable. You must make the change here to indicate Not Separable for matched pairs
of stones.
You will notice that when listing
Matched Pairs, your screen has two sections. On the left side of your screen you provide
information on
Stone A, and on the right side you provide information on
Stone B.
Please fill out the required fields and any optional fields as described above for
Add Single Stones via
Online Form.
When you have provided all of the information, click the
Add Matched Pair Diamonds button.
If you are Adding Matched Pairs by a File Upload. Any time that you wish
to list a stone as being part of a parcel or matched pair, you must start
your remarks field (after the asterisk) with either the word "PARCEL"
or "PAIR". You may include any additional text remarks after
these words. All other listing properties are the same.
NOTE: You should never list pairs by total weight. You may list one of the
pair or both, but each should have its own description (weight, color,
clarity, etc). In the remarks you can type
*Pair with #4736. In this case 4736 is the stock number of the other half of this pair.
If you don't normally use stock numbers, just make something up for pairs.
Even parcels of melee should not be listed by total weight. If it is a
1.5 carat parcel of five pointers, list them with a weight of .05 and their
lowest color and clarity. In the remarks type
*Parcel TW 1.50.
Remember to pack everything tightly on one line for each stone and separate
the factors with semicolons. You are talking to a computer that only recognizes
things as explained here.

An asterisk (*) in the title of a field indicates that the information
is required for the stone to become listed in CertNet. There are
seven fields that must be completed to successfully upload into the database.
They are:
Carat Weight, Shape, Color, Clarity, Price/Carat, Stock Number and
Pavilion and Polygon Exclusive status.
Weight must include a decimal point and can take up to four (4) decimal places.
Don't use the word "carat" or any abbreviation, just a number
including a decimal point (Examples: .45, 0.93, 1.29, 2.0103).
Shape Use your mouse to highlight the dropdown menu and then click the desired
shape. The same procedure goes for the
Clarity and
Color fields.
When you enter the
Price per Carat, don't use a dollar sign or commas. You may enter the
Price per Carat with up to two (2) decimal places (for example 3509.15). CertNet
will compute the total price for you.
Stock # allows you to assign a number for a customer to reference the stone to
you. These numbers should be kept so when a customer calls about stock
# C1234, you know which stone they are referencing.
The
Pavilion field is for members to designate where their inventories will appear.
Currently any Polygon member can upload to the Polygon database; however
you must belong to the Association before uploading into its pavilion.
Current pavilions are: Polygon CertNet, JewelryNet, IJO, RJO, and AGS.
If you are listing stones graded by
EGL,
EGLUSA,
EGLLA,
EGLNY,
GQI, or
PGS, you can list them by certificate number along with your asking price, and Polygon's computer will fill in the rest. When you list your stones in this way, you cannot add remarks. Listing your stones by certificate number allows anyone interested in the stone to bring up full information on make from the original certificate. This makes your stones more attractive to the buyer.
Simply list your stones starting with the laboratory initials, followed
by a colon, then the certificate number, followed by a semi-colon, then
your price per carat (i.e. Laboratory Initials: Certificate Number without
Alphabetical Prefix; Price per Carat). The only time an alphabetical prefix
needs to be specified is when uploading EGLNY certificates.

And so forth. Notice you are listing only the certificate number, and the
per carat asking price. Polygon enters the rest of the information for
you, including full make information.
NOTE: You may also add a unique stock number when using this method. Simply
add ;S: and the stock number (up to 10 characters).
For example: EGL: 71454417D;3500;S:22371
Also be aware that the
EGL labs often include a letter prefix that preceeds the cert ID number. Please
do include that prefix when uploading your diamonds.
- To include images with your CertNet bulk upload file, you will need to
enter the image file name in column J of the data file. This is manually
entered on the CertNet file.
- Do not include spaces or symbols in the filename. Make sure that what is entered in the data file exactly matches the filename that you will include in your Image Zip file. For example, you might use stock numbers as your filename, such as HM1302.jpg. When this information is entered into your data file, make sure it shows HM1302.jpg and not hm1302.jpg, as this field is case sensitive.
- Once you have filled in your data file with all of the filenames for your
images, you are ready to prepare your zipped file of images.
- If you do not already have WinZip installed on your computer, browse to www.winzip.com and download the free evaluation version.
- If you already have WinZip installed on your computer, open WinZip and choose New. This will first ask you to name the zip file you are creating and choose the location on your computer where you would like the file saved. Then it will ask you what files you want to add to this new zip file. Choose all of the images you named in your data file by clicking the filename(s), and then clicking the Add button.
NOTE: The combined size of both your data and image zip file cannot exceed 40MB. For example, your data file of may be 1MB and your image zip file may be 39MB. Also, data files and zipped image files must be uploaded simultaneously for the images to appear in the databases.
- We recommend reducing image sizes down to 300 pixels wide by 300 pixels
high. Saving the image as a JPEG (.jpg) with a medium to semi-excellent
resolution rating is also a good idea. This ratio, along with a 300 X 300
(width x height) presents a catalog-size image that displays nicely on
the Internet.
- Image editing programs, such as Photoshop, can usually accommodate such
resolution and dimensions. Please consult the documentation for those software
programs for specific help.
