Our Commitment to Privacy
Your privacy is important to us. To better protect your privacy we are providing this notice explaining our online information practices and the choices you can make about the way your information is collected and used. To make this notice easily accessible, we place it on every page of our website.
Intention. This website is intended solely for business purposes. It is neither directed at nor intended for use by children. This Privacy Policy is limited to the Polygon Network Division of PolyGroup, Ltd.
The Information We Collect
This notice applies to all information collected or submitted on the Polygon.net website or collected by Polygon Trading Network employees.
Polygon Membership Application. You can apply for membership to the Polygon Trading Network by either submitting an application through fax, mail, by phone, or online. The information collected includes:
- Company Name
- Contact Name
- Mailing Address
- City
- State/Province
- Zip/Postal Code
- Phone Number
- Fax Number
- Email Address
- Association Memberships
- Credit Card Name, Account Number and Expiration Date
We might also ask a member for supplemental information such as invoices, business licenses, or other documentation to help us determine if they are in fact a company doing business in the jewelry industry.
Optional Information.
It is optional for the user to provide other information, such as JBT ID.
Supplementation of Information.
In order to properly fulfill our obligation to protect the Polygon Trading Network from consumers and bad businesses, Polygon receives information from third parties, including the Jewelers Board of Trade, and various jewelry associations around the world.
Other Information.
Other information is supplied on the Polygon Trading Network through the messaging channels, private Direct Messages, the PolyPages Member Listings, CertNet and JewelryNet listings, Tradeshow Exhibitor Lists, or through the process of training and/or providing technical support to each member.
How We Use Information
We use the information you provide about yourself and your business to verify your position in the jewelry industry, to provide training and technical support and to improve the Trading Network to the best of our ability. The information is also used to help us create a trusting community of peers. We do not share this information with third parties (companies outside of PolyGroup, Ltd.) except as described below.
Communication. We send all new Polygon members a welcoming email and/or letter to introduce and train each member about the website. It is occasionally necessary to send out a strictly service-related announcement. Generally, users may not opt-out of these communications. However, these communications are not promotional in nature.
Opt-Out Communication. Promotional and informational emails and/or Direct Mails may be sent to members, however members will always receive the ability to opt-out of any such communications.
Customer Service. When requests are made by users regarding their service, we reply via email, phone, fax, or mail, in accordance with the users' wishes. We use return email addresses to answer the email we receive. Such addresses are not used for any other purpose and are not shared with outside parties.
Log Files. Like most standard website servers we use log files. This means that we either currently or will in the future record such information as: Internet Protocol (IP) addresses, browser type, internet service provider (ISP), referring/exit pages, platform type, date/time stamp, and number of clicks to analyze trends, administer the site, track users' movement in the site, and gather broad demographic information for aggregate use. This information is not linked to personally identifiable information.
Sharing. Though we make every effort to preserve user privacy, we may need to disclose personal information when required by law wherein we have a good-faith belief that such action is necessary to comply with a current judicial proceeding, a court order, or legal process.
Business Transitions. In the event Polygon goes through a business transition, such as a merger, acquisition by another company, or selling a portion of its assets, members' personal and/or business information may be part of the assets transferred. Members will be notified via email, letter, or a notice on our website prior to a change of ownership or control of their information. If as a result of the business transition, the users' personal or business information will be used in a manner different from that stated at the time of collection they will be given choice consistent with our Notification of Changes section.
Links. This website contains links to other sites. Please be aware that we, Polygon, are not responsible for the privacy practices of such other sites. We encourage our users to be aware when they leave our site and to read the privacy statements of each and every website that collects personally identifiable information. This privacy statement applies solely to information collected by the Polygon Trading Network.
How We Protect Information
To prevent unauthorized access, maintain data accuracy, and ensure the correct use of information, we have put into place appropriate physical, electronic, and managerial procedures to safeguard and secure the information we collect.
Security. Your information is stored within a copyrighted database that requires a username and password for access. Only employees of PolyGroup, Ltd. are given access. Policies of the company further restrict the use of that access. The servers used to store the database are housed in a locked facility.
How to Access or Change Your Information
You can access and maintain all your personally identifiable information that we collect by calling, emailing, faxing, or writing. To protect your privacy and security, we will also take reasonable steps to verify your identity before making corrections.
Notification of Changes
If we decide to change our privacy policy, we will post those changes to this privacy statement, and to other places we deem appropriate so our users are always aware of what information we collect, how we use it, and under what circumstances, if any, we disclose it. We will use information in accordance with the privacy policy under which the information was collected.
Exceptions. If, however, we are going to use members' information in a manner different from that stated at the time of collection we will notify users via email, post, phone, or fax. Users will have a choice as to whether or not we use their information in this different manner. However, if users have deleted or deactivated their account, then they will not be contacted, nor will their personal information be used in this new manner.
